Position available for Financial Director

Reports To: Executive Director 

Position: Full -Time

Purpose / function of Position 

Responsible for all accounting duties of the agency.  Ensure fiscal accountability for the agency.  Record and track all grant funding in accordance with the requirements of the individual funding entity.  Keep the Executive Director and the Board of Directors informed of the financial

position of the agency at all times. Cooperates with Director in preparation for inspections of facility by regulatory agencies and

monitors the agency’s compliance with local fire, electrical and health codes.


Bookkeeping/Accounting/Operations/Grant Correspondence

  1. Maintain separate accounting records as required by agency funding source.  Ensure the assignment of appropriate account numbers, documenting grant and general ledger numbers as appropriate. 

  2. Ensure the receipting and preparation of appropriate bank deposits daily.  Ensure that deposit transactions are completed whenever cash and checks received exceeds $50 at the end of the day.

  3. Ensure accurate preparation of payroll for all employees bi-weekly and at other times as required by law.  Maintain accurate accounting of employee benefits and payroll deductions.  Ensure the accurate and timely computation and payment of payroll taxes and retirement plan deposits.

  4. Ensure the entry of payables, receivables, disbursements, receipts, and other general accounting information in accounting database, verifying conformity in balances.

  5. Ensure the correct and timely disbursement for invoices and statements.

  6. Reconcile all bank accounts monthly, maintaining balances within agency guidelines.  Research banking and investment alternatives as requested by the 

  7. Executive Director and/or Board President.

  8. With the Executive Director, prepare an annual agency budget.  Prepare grant budgets and appropriate budget adjustments as needed for the approval of the Executive Director.


Records Management 

  1. Maintain accounting records as required by funders and by law, including, but not limited to, timesheets, mileage logs, disbursement documentation, receipts, and other general accounting information.

  2. Establish and maintain systems and controls which verify the integrity of all accounting processes, data, and reporting.

  3. Gather information and reports as required for annual financial audit, insurance audit, and funding source audits and monitorings.  Cooperate and work with auditors during audits and monitorings.



  1. Prepare monthly financial statements for the President and CEO.

  2. Prepare expenditure reports and all other required reports for funding sources and submit in a timely manner.

  3. Prepare and timely file quarterly FSR’s  and IRS Form 941 reports.  Ensure preparation and timely filing of annual reports including but not limited to Form 990, Form 5500, 1099s, and W-2s.

  4. Assist Executive Director with grant reporting and financial record keeping as required by each Grantor.

  5. Assist Executive Director by providing financial information and input regarding fundraising, donations, and grants.


Minimum of 3 years experience as full-charge bookkeeper or accountant, strong organizational skills; assertive; computer literate particularly in accounting area, ability to work with minimal supervision.  Experience with non-profit and fund accounting.


Ability to walk, bend, stoop, twist at waist, reach, climb stairs, lift and carry at least 25 pounds.

General Responsibilities

To perform any and all other duties as assigned by the Executive Director that furthers the mission of the Agency.
